2006 HCCA-ECCS: Early Childhood Networking Meeting Guidance for Presenters and Preparation of Materials
 
The 2006 Early Childhood Networking Meeting, Implementing Comprehensive Systems for Early Childhood, will be held on Monday and Tuesday, September 25 and 26, over 2 full meeting days. The meeting will be held at the Hyatt Regency Reston in Reston, Virginia.
 
The meeting will provide an opportunity for early childhood partners to come together to discuss and develop strategies for moving forward on implementing comprehensive systems for early childhood.
Partners who plan to attend the meeting include the following:
  • State Early Childhood Comprehensive Systems (ECCS) grantees
  • Healthy Child Care America (HCCA) System Partners
  • National Training Institute for Child Care Health Consultants
  • (NTI) graduates and State Child Care Health Consultants (CCHCs)
  • State Child Care Administrators
  • Head Start Collaboration Directors
  • State Public Health Administrators.
 
This year, your presentation materials (handouts and/or PowerPoint slides) should be submitted at hcca-eccs@ccb-cmc.org no later than Tuesday, September 12, 2006. If you submit your materials by September 12, copies will be made for you; if you submit them after that date, you will need to bring your own copies. PowerPoint presentations do not need to be consistently formatted, but we have suggested some guidelines for professional appearance and readability. Please do not wait until the last minute and edit the slides carefully. This will help ensure that your high-quality work is presented with a correspondingly high-quality appearance on site at the meeting.
 
Biosketches
All presenters are asked to submit a one-paragraph biosketch. The individual biosketch will be aggregated into a single document and included in the participant meeting packets. When you register on line, you will be asked to complete the biosketch field. Be advised that there is a 2000-character limit. You can copy and paste a short paragraph from your curriculum vitae if you wish.
 
Session Materials
PowerPoint Presentation Guidelines
 
Most sessions will include PowerPoint presentations. There is no consistent format; however, general editorial guidelines are suggested.
  • Avoid using all-capital or shadowed letters. They can be difficult to read.
  • Avoid acronyms and abbreviations except for those that everyone will understand.
  • Limit the number of fonts used to no more than two to three typefaces and styles per page. Times New Roman, Arial, Helvetica, CG Times, or Verdana are recommended. Verdana and Arial (emboldened) have high screen legibility.
  • Be careful about the use of color, especially if printing from the slides. Colors that are appealing on the screen often do not show up well on paper or when projected. Please be sure to preview your slides before your presentation. For printed contrast, use a black background with white lettering or a white background with navy or black lettering. Color can be used as a highlight. A lighter background produces better handouts.
  • Select simple graphics, use them consistently, and use no more than two per slide.
  • Set margins of no less than ½ inch to ensure that the text will not be cut off when projected onto the screen.
  • Limit the number of transitions, as too many transitions can be distracting.
  • Use text sparingly and try to make each point with no more than four lines. More text than that is difficult to read at a glance and is distracting to an audience.
  • Minimize the use of animated texts, sounds, and fancy transitions.
  • Test the readability of your slides by placing a printed page of each on the floor. If you can read the printed slide from a standing position, audience members will likely be able to read the projection from their seats.
  • Practice your presentation to ensure that you can present within the allotted time and so that you know what may be unclear. A good rule of thumb is to allow approximately one slide per minute. (For example, for a 30-minute presentation, you should have no more than 25 slides, depending on how much information is on each slide.)
  • Provide handouts of your presentation ahead of time so that the audience can follow along and take notes. As noted above, handouts will be done for you if you submit your slides by September 12. If you do not submit the slides before the meeting and will provide your own handouts, these should be formatted at three slides per page with note lines. Produce 50 copies if you are presenting at a breakout session and 225 copies if you are presenting at a general session.
  • If you would like your audience to take notes, leave them sufficient time to do so.
  • Put backup copies of your presentation onto a CD and bring it with you to the meeting.

Meals and Incidental Expenses for Supported Presenters
 
The 2006 Federal Travel Regulations meals and incidental expenses (M&IE) rate for Reston, Virginia, is $64. M&IE for travel days is reimbursed at 75 percent of the daily rate. Following the meeting, you will be reimbursed as follows:
  1. Three-quarters of the daily Government M&IE rate on your arrival and departure dates ($48 x 2 days = $96).
  2. Full amount of the daily Government M&IE rate for each day of participation at the meeting ($64 x number of full days at the meeting).
Reimbursement forms and instructions will be available on site at the meeting. Completed forms and original travel receipts (meal receipts not required) must be returned by mail as soon as possible after the meeting. We will not be able to honor reimbursement requests received after October 26, 2006.
