Resource Materials
We are pleased to invite your organization to participate in the resource area at the State and Territory Administrator’s Meeting (STAM). Your organization is welcome to display materials in the resource area on Monday, July 28, through Wednesday, July 30, 2008, from 8 am to 5 pm at the
Mandarin Oriental in Washington, DC. This is a great opportunity to share your organization’s resources by displaying/distributing materials!
If you are interested in displaying materials and/or an exhibit in the resource area, contact Michelle Sanchez, to reserve space for your organization. Please contact Michelle at the National Child Care Information and Technical Assistance Center via phone at 800-616-2242 or email her at
msanchez@nccic.org. The deadline for registration is Monday, July 7, 2008.

FREQUENTLY ASKED QUESTIONS ABOUT THE RESOURCE AREA
Q: We are planning to send a tabletop or floor display. Do I need to send a representative from my organization to set up and dismantle our display?
A: Yes. Each organization is responsible for setting up and dismantling its own display. All displays must be set up before registration begins on the first day of the meeting. The hotel’s Business Center can help you arrange for return shipment of your display at the end of the meeting.
Q: We are only sending books and brochures to distribute. Do I still need to send a representative from my organization to set up and staff our table in the Resource Area?
A: No. The Resource Area will be staffed by NCCIC staff who will be responsible for arranging resources on the tables.
Q: Do I ship my boxes to NCCIC?
A: No. Due to the volume of resources contributed, we prefer to have all materials shipped directly to the hotel. If you will be shipping more than four boxes to the hotel, please contact Michelle Sanchez about handling fees at 800-616-2242 or msanchez@nccic.org. Please label all boxes being shipped to the hotel with the following information:

Q: How many copies of my publications should I send/bring?
A: We estimate that 200–250 copies of each publication should be sufficient. You might wish to send additional display-only copies, order forms, or business cards to be distributed just in case all copies of a document are taken.
Q: Can I send videos or posters to show meeting attendees?
A: Yes. If you need access to a TV/VCR or other AV equipment, please contact Michelle Sanchez at 800-616-2242 or msanchez@nccic.org.
Q:I forgot to register for the Resource Area by the deadline. Can I still send materials to the meeting?
A: Yes. Registering by the deadline guarantees space for your materials and identification of your organization with a table sign. However, we will attempt to make space available for all materials on an unreserved "sharing" table.
Q: If any resources that I contribute are left at the end of the institute, will they automatically be returned to me?
A: No. Materials contributed to the Resource Area become the property of NCCIC. Items left after the meeting will not be returned to contributors unless prior arrangements for payment of shipping charges have been made.
Q: Are there any fees associated with displaying resource materials?
A: No. There are no fees for displaying resource materials. Any AV equipment ordered will be subject to fees.
